How the Date Is Held
A wedding date is not held by a phone call. It is held when the reservation is paid in full, including a date a month or two away. Unless a different deposit is set on that reservation, 40% is due at booking and the rest is due in full 7 days before the wedding. If it is not paid in full by then, the reservation is cancelled and the vehicles go back on the board.
Cancel 7 days or more before the wedding for a full refund. Inside 7 days there is no refund. The common timeline mistake is waiting to confirm until the vehicle wanted for that Saturday is gone.
Managing the Headcount
Bridal party size is the number that decides the vehicle, and it is also the number most likely to change after you book. A bridesmaid is added, a groomsman drops, a set of parents asks to ride along. The fix is to book the vehicle to your realistic maximum rather than your minimum, then trim if needed — it is far easier to ride a fourteen-passenger Sprinter with ten people than to discover at six months out that the eight-passenger stretch you reserved no longer fits the group.
