A guest shuttle exists to solve two problems: guests who have been drinking should not drive, and out-of-town guests should not have to navigate Chicago parking. The schedule that handles both is a continuous loop. Shuttles start running about 30 to 45 minutes before the ceremony, pulling guests from the hotel block to the venue in waves, then run the reverse route at the end of the night so the last loop leaves after the final dance. Guests board when they are ready instead of waiting for one fixed departure.

Headcount and distance drive the vehicle plan. For 80 to 120 guests needing transport, two Sprinters running parallel loops usually move everyone faster than a single larger coach, because the wait between loops is shorter. A wedding with 150-plus guests and a single hotel-to-venue route is often better served by the 56-passenger motor coach, which clears the crowd in fewer trips. When the hotel block is split across two or three properties — say the Palmer House, the Langham, and the Four Seasons — we sequence the pickups so each stop is timed, not guessed.

Wedding shuttles run a four-hour minimum, and most couples book five to six hours to cover pre-ceremony pickup, the ceremony-to-reception leg, and the end-of-night return. The clock starts when the first shuttle departs, not when guests board.
