How the Hotel-to-Venue Loop Works
Before the Ceremony
First shuttle wave departs the hotel. This wave carries guests who need extra time — elderly guests, guests with young children, anyone who wants a buffer.
Second shuttle wave departs. Most guests land in this wave. The shuttle returns to the hotel one more time if the guest count requires it.
Final wave departs if needed. At this point all transported guests should be at the venue and seated before the processional.
After the Reception
Driver returns to the venue and stages near the exit. First wave loads immediately after the send-off — the guests who need to leave first.
Main shuttle wave runs hotel drop-offs. Second wave runs 30-45 minutes later for guests who stayed for the after-party.
Final return run completes the loop. Every guest is at their hotel. No one is stranded, no one is calling rideshare at 1 AM.
Wave timing adjusts in real time based on guest count and traffic. Your wedding planner gets a direct dispatch line for same-day changes. We've run this loop at venues across Chicago since 2018 — we know the staging areas and loading zones before we arrive.
Hotel → Venue: Sample Distances
Downtown Chicago venues are close together — most hotel-to-venue runs are under 15 minutes. Suburban venues add travel time but the loop math is the same.
| Hotel | Venue | Distance / Time | Typical Setup |
|---|---|---|---|
The Drake Hotel Magnificent Mile | Holy Name Cathedral | 1.4 miles · ~8 min | 1 Sprinter, 2 waves |
Marriott Magnificent Mile Streeterville | Chicago Cultural Center | 0.9 miles · ~6 min | 1 Sprinter, 2 waves |
Hyatt Regency Chicago The Loop | Salvage One (West Loop) | 2.1 miles · ~12 min | 1-2 Sprinters depending on guest count |
Kimpton Palomar River North | Galleria Marchetti (West Town) | 1.8 miles · ~10 min | 1 Sprinter or party bus for 20+ |
Drive times are off-peak estimates. Saturday afternoon traffic on Michigan Ave can add 5-10 minutes — we build buffer into the wave schedule. Call (224) 801-3090 with your hotel and venue addresses for an exact quote.

What Couples Say About the Guest Shuttle
“We had 40 out-of-town guests at the Marriott and the venue was 2 miles away. Royal Carriage ran two Sprinters in 3 waves before the ceremony and 2 waves after. Every single guest made it there and back. My wedding planner said it was the smoothest guest logistics she'd seen.”
— Rebecca T., via Google Reviews
“The shuttle coordination was handled completely by our planner and Royal Carriage's dispatch. We literally didn't think about it once on our wedding day. Guests arrived on time, no one was stranded after the reception. That peace of mind was worth every dollar.”
— Daniel & Sophia K., via Google Reviews
“We booked both the bridal car (Rolls Phantom) and two Sprinters for guest shuttles under one booking. The coordinator at Royal Carriage managed the timing for both. When dinner ran 25 minutes long they already knew and pushed the shuttle departure.”
— Sarah & Mark W., via Google Reviews
“Drake Hotel to our ceremony at Holy Name Cathedral. 22 guests, one Sprinter, two waves. $340 flat. The driver was 10 minutes early, the guests arrived 30 minutes before the ceremony, and he was waiting at the venue for the return trip before we even asked.”

Wedding Shuttle FAQ
How much does a wedding shuttle service cost in Chicago?
A Mercedes Sprinter (14 passengers) starts at $340 for a flat-rate transfer or $179/hr for hourly hotel-to-venue loops. A party bus for larger groups (20-30 guests) runs $309/hr with a 3-hour minimum. Most wedding shuttle setups run 4-5 hours total, covering pre-ceremony guest transport and post-reception return runs. Call (224) 801-3090 for a quote tied to your specific venue and hotel distance.
How does a hotel-to-venue wedding shuttle loop work?
We stagger shuttle waves timed to your ceremony. First wave departs the hotel 90 minutes before ceremony start — that wave moves guests who need extra time. Second wave departs 60 minutes before. At the reception end, we run the reverse: first shuttle wave after last dance, second wave 30-45 minutes later. Your coordinator (or wedding planner) gets a direct line to our dispatch for real-time timing adjustments.
How many shuttle vehicles do we need for our wedding?
This depends on guest count and hotel-to-venue distance. A rough rule: one Sprinter (14 passengers) handles up to 28 guests in two waves for a hotel 2-5 miles from the venue. For 50+ out-of-town guests at a single hotel, you'll want two Sprinters or a party bus running loops. We've coordinated multi-hotel, multi-vehicle setups for 200+ guest weddings — call us to model the right configuration.
Can you coordinate with our wedding planner on the shuttle schedule?
Yes. We share driver contact details and a timeline confirmation with your planner before the wedding day. Our dispatch is reachable 24/7 for day-of adjustments — if the ceremony runs long, we adjust pickup accordingly. We don't need the planner to manage us; we just need the ceremony and reception times plus the hotel and venue addresses.
Do you offer wedding shuttle service for guests coming from multiple hotels?
Yes. Multi-hotel pickups add complexity but we handle them regularly. We sequence the pickup order by hotel proximity to the venue to minimize total travel time. Each hotel stop adds roughly 10-15 minutes per pickup. For groups split across 3+ hotels, two vehicles running parallel loops is often more efficient — we'll model both options.
Is the wedding shuttle service different from the bridal car?
Yes — these are separate vehicles with separate purposes. The bridal car (stretch limo, Cadillac Escalade, or Rolls-Royce Phantom) carries the couple and possibly immediate family between ceremony and reception. The wedding shuttle carries guests in bulk — Sprinter vans or party buses running hotel-to-venue loops. Royal Carriage coordinates both under one booking so the timing aligns.
Full-Day Wedding Transportation
Guest shuttle service is one piece of wedding day logistics. Royal Carriage handles the complete picture. The couple arrives in a stretch limo or Cadillac Escalade with champagne and red carpet. The bridal party moves together in a 14-passenger Sprinter van. For larger bridal parties or guest groups that want a more festive ride, a wedding party bus seats 20-30 with LED lighting and a full sound system. All vehicles run under one booking, one coordinator, one dispatch line.
Planning a bachelorette the night before? Our bachelorette party bus runs the same fleet with River North and Fulton Market routing. And for the honeymoon airport transfer, we run flat-rate O'Hare and Midway transfers with flight tracking and meet-and-greet service — so you land and walk straight to your driver.
