From First Call to Move-In Day
A predictable timeline keeps a multi-vehicle convention program from turning into a day-of scramble.
4–6 weeks out:Send us the event dates, the venue, your hotel block locations, and a rough attendee count. That is enough for us to draft a vehicle plan and a budget. For peak weeks at McCormick Place — the Auto Show, RSNA, the major trade shows — this is also when motor-coach availability starts to tighten, so earlier is better.
2 weeks out:We lock the route map: pickup and drop-off coordinates at each hotel, the venue loading zone, shuttle frequency, and the staffing of VIP sedans against your keynote and executive arrival schedule. This is the point to finalize branded signage artwork — we need your logo at least five business days before the first run.
Event week:You get a single dedicated coordinator and a direct phone line. Flight numbers for VIP arrivals go in for live tracking, final headcounts are confirmed, and vehicle assignments are published. Day-of schedule shifts — a session that runs long, a flight that slips — are handled by the coordinator, not by you chasing individual drivers.
