How Early to Book a Prom Limo — A Month-by-Month Timeline

The Short Answer

Book your prom limo 3 to 6 months before prom night, depending on the vehicle. Stretch limos need 3-4 months. Party buses need 4-6 months. Hummer limos and specialty vehicles need 6+ months.

If your prom is in May, you should be booking no later than February. If it's in June, March is your deadline. And if you want a Hummer stretch — honestly, you should have booked in November.

Here's why, and what to do if you're already behind.

Why Prom Limos Sell Out

Chicago's western and northwestern suburbs alone have dozens of high schools with proms packed into the same three weekends in May and early June. New Trier, Stevenson, Barrington, Lake Zurich, Fremd, Hersey, Libertyville, Lake Forest — all of them running proms within the same narrow window.

Now consider the supply side. A typical limo company in the Chicago area might have 3-5 stretch limos and 1-3 party buses. Some of those get booked for weddings on the same weekends. That leaves a handful of vehicles for hundreds of groups all wanting the same Saturday night.

The math doesn't work if you wait.

The Booking Timeline by Vehicle Type

Stretch Limo — Book 3-4 Months Out

The classic prom vehicle. A stretch Lincoln or Chrysler 300 seats 8-10 passengers, which works for most friend groups. These are the first to sell out because they're the most popular prom choice and every limo company has a limited number.

January-February booking for a May prom gives you the best selection. By March, you're choosing from what's left. By April, you're calling every company in a 50-mile radius hoping for a cancellation.

Party Bus — Book 4-6 Months Out

Party buses seat 20-30+ passengers, which makes them the move for larger groups combining multiple friend circles. The problem: most companies own fewer party buses than stretch limos. We might have 4 stretch limos but only 2 party buses. When those two are booked, they're gone.

November-January booking for a May prom is the window. Party buses are also in heavy demand for bachelor and bachelorette parties, corporate outings, and bar crawls — so prom groups are competing with every other event type for the same vehicles.

If your group is 15+ people, start making calls before winter break. Seriously.

Hummer Limo and Specialty Vehicles — Book 6+ Months Out

The Hummer limo is the showstopper. It's massive, it's loud, and every prom group wants to pull up in one. The catch: very few companies own a Hummer stretch. Across the entire Chicagoland area, there might be 10-15 available on any given prom weekend.

October-November booking for a May prom. Six months out is not too early for a Hummer. These get locked up fast because once one is booked, there's no substitute — you can't just swap in a different vehicle. A Hummer is a Hummer.

Same goes for Escalade stretches, Rolls-Royce Phantoms, or any specialty vehicle. If it's rare, book it early.

What Happens When You Wait Too Long

Here's the reality check for the "I'll book it next week" crowd:

  • 4 weeks before prom: You'll have trouble finding any stretch limo in your area. Party buses are completely gone. You might find a sedan or SUV, which is fine but not what most prom groups picture.
  • 2 weeks before prom: You're calling companies in Indiana and Wisconsin. Prices have jumped because you're now paying rush availability rates. Quality drops because the best operators filled their calendar months ago.
  • 1 week before prom: Your options are a regular Uber, your mom's minivan, or hoping someone's date cancels and a limo opens up.

Don't be that group.

How Early Booking Saves You Money

No surge pricing: When demand spikes close to prom weekend, some operators raise prices 20-40%. Booking 3-6 months out locks in the standard rate before the rush.

Group coordination time: Early booking gives you time to finalize the passenger list and split costs properly. With 8 people in a stretch limo at around $800-1,200 for the night, that's $100-150 per person. With a party bus at $1,500-2,500 split 20 ways, it's $75-125 each. Group Coordination Tips

Getting 8-20 high schoolers to agree on anything is harder than the actual booking. Here's how to make it work:

Pick one point person. One person handles the booking, collects money, and communicates with the limo company. Too many contacts leads to confusion and double-bookings.

Collect deposits early. Get $25-50 from each person when you book, not the night before prom. This commits everyone and covers the company's deposit requirement.

Agree on the route. Most prom limo packages are hourly. Every unnecessary stop burns time. Map out the plan: pickup location (one central spot beats 8 individual houses), photos, dinner, prom venue, and after-prom. Keep it tight.

Share the booking confirmation. Forward the confirmation email to everyone in the group so they know the pickup time, address, and vehicle details. This prevents the 6 PM "wait, I thought it was 7" text chain.

Set a hard pickup time. The limo arrives at 5:00. Everyone needs to be there at 5:00. Not 5:15. Not "almost there." Late passengers hold up the entire group and eat into your hourly rental time.
