What to Look for in a Limo Company — 8 Things to Check Before You Book

By Royal Carriage Content Team6 min read

Why This Matters More Than You Think

Hiring a limo company feels simple until something goes wrong. A no-show on prom night. A driver who doesn't know how to get to Navy Pier without GPS rerouting through Cicero. A "luxury sedan" that turns out to be a 2014 Camry with a cracked windshield.

The difference between a great experience and a terrible one comes down to homework. Here are eight things worth checking before you book — and a handful of red flags that should send you elsewhere.

1. DOT and TCP Licensing

Every commercial passenger vehicle operating in Illinois needs proper licensing. For limousines, that means a TCP (Transportation Charter Party) permit from the Illinois Commerce Commission. Interstate carriers also need a USDOT number from the Federal Motor Carrier Safety Administration.

Ask for these numbers. A real company will give them to you without hesitation. You can verify DOT numbers at safer.fmcsa.dot.gov in about 30 seconds.

Why it matters: unlicensed operators have no regulatory oversight. If something happens during your ride, you have almost no legal recourse.

2. Commercial Insurance — $5 Million Minimum

This is the single most important thing on this list. A legitimate limousine company carries commercial auto liability insurance with a minimum of $5 million in coverage. That's not a suggestion — it's the industry standard for passenger carriers.

Ask for a Certificate of Insurance (COI). Any company that hesitates or says they'll "email it later" is a problem. At Royal Carriage, we provide our COI on request within the hour. It's not a big ask.

Personal auto insurance does not cover commercial passenger transport. If your driver only has personal coverage, you're riding uninsured.

3. Fleet Age and Condition

Take a look at the actual vehicles. Most serious companies post real photos of their fleet on their website — not stock images from Shutterstock. Check our fleet page to see what we mean.

Things to look for:

  • Model years: Vehicles should generally be less than 5 years old for sedans and SUVs. Stretch limos and party buses can be older if well-maintained, but anything past 10 years is a concern.
  • Interior condition: Ask about recent refurbishing. Leather should be intact, lighting should work, and the vehicle should smell clean — not like air freshener covering something worse.
  • Maintenance records: Professional operators keep detailed service logs. It's fair to ask how often vehicles are inspected.

4. Reviews — Look for Google 4.5+ Stars

Skip Yelp. Check Google Business Profile reviews, where filtering fake reviews is harder. You want to see:

  • At least 4.5 stars overall
  • A volume of 50+ reviews (a perfect 5.0 with 3 reviews means nothing)
  • Recent reviews from the past 3 months
  • Specific mentions of punctuality, vehicle condition, and driver professionalism

Read the negative reviews too. Every company gets a one-star now and then. What matters is how they responded. Did they apologize and offer to make it right, or did they get defensive?

5. Pricing Transparency — Flat Rate vs. Metered

There are two basic pricing models in ground transportation:

  • Flat rate: You know the total before you book. No surprises. This is how our rates work for airport transfers and point-to-point trips.
  • Hourly/metered: Common for events, weddings, and multi-stop trips. Make sure you understand the minimum hours, overtime charges, and what's included.

Watch for hidden fees. Fuel surcharges, gratuity, tolls, airport fees, wait time — these can add 20-30% to the quoted price if they're not disclosed upfront. A good company includes everything in the quote or itemizes it clearly before you agree.

6. Cancellation Policy

Life happens. Flights get delayed. Events get rescheduled. Before you book, know the cancellation terms.

Reasonable policies give you a full refund if you cancel 24-48 hours in advance. Same-day cancellations usually carry a fee. Anything that charges you a penalty for canceling more than 48 hours out is aggressive.

Get the cancellation policy in writing — ideally in your booking confirmation email, not buried in page 14 of a terms document.

7. Backup Vehicle Policy

What happens if your assigned vehicle breaks down? Or if there's a last-minute mechanical issue?

Professional companies have backup plans. At Royal Carriage, we maintain extra vehicles specifically for this purpose. If a Lincoln Continental has a flat tire at 4 AM before your 5 AM airport pickup, we dispatch another vehicle from our fleet — not a random Uber driver.

Ask the company directly: "What's your backup plan if my vehicle can't make it?" If they don't have a clear answer, that's a red flag.

8. Dispatch Availability — 24/7 vs. Business Hours

Your flight lands at 11:45 PM. There's a gate change. You need to reach your car service. Can you?

A company that only answers phones during business hours isn't equipped for airport transfers, late-night events, or anything that doesn't happen between 9 and 5. You want 24/7 dispatch — a real person who picks up the phone, not a voicemail box.

Call us anytime at (224) 801-3090. We answer around the clock because ground transportation doesn't run on banker's hours.

Red Flags That Should Make You Walk Away

Beyond the eight items above, here are warning signs that a company isn't worth your money:

  • No physical address: If they won't tell you where their garage is, they probably don't have one.
  • Stock photos only: Real companies show real vehicles. If every photo on the website looks like a magazine ad, those aren't their cars.
  • No insurance certificate on request: This is non-negotiable. Walk away.
  • Pressure to pay in full upfront: A deposit is normal. Demanding full payment weeks in advance with no refund option is not.
  • No contract or booking confirmation: Everything should be in writing — vehicle type, pickup time, address, rate, and terms.

The Bottom Line

Choosing a limo company isn't complicated, but it does require asking a few pointed questions. The good companies welcome these questions because they've already done the work. The bad ones dodge them.
