Wedding Day Timeline Template
Adjust times to match your ceremony start. This template assumes a 2:00 PM ceremony.
Morning Prep Arrivals
- Sedan picks up hair/makeup team and delivers to bride's prep location
- Separate sedan collects any bridesmaids staying at different hotels
- Groom's party assembles — no transport needed yet if prepping at the venue hotel
If the bride and groom are prepping at different locations, assign dedicated vehicles to each. Never combine timelines — delays cascade.
First Look & Photos (Optional)
- SUV or Sprinter transports bride + bridal party to first-look location
- Groom arrives separately by sedan
- Photographer may ride with the bridal party — confirm vehicle capacity
First-look locations in Chicago (Art Institute steps, Lurie Garden, Adler Planetarium) have 15-30 min parking windows. Your driver idles or stages nearby while you shoot.
Pre-Ceremony Photos
- Full bridal party travels to 1-2 photo locations around Chicago
- Sprinter van for large parties (8+ people) to keep the group together
- Family members who are in photos arrive by separate sedan
Top Chicago photo spots: Wrigley Building, Olive Park, Milton Lee Olive Park, North Ave Beach, Ping Tom Park. Plan 20 min per location including travel.
Travel to Ceremony
- Bridal party departs photo location for ceremony venue
- Parents and VIPs depart hotel for ceremony
- Allow 30 min buffer — Chicago traffic on Michigan Ave averages 15 mph on Saturdays
For downtown ceremonies (Fourth Presbyterian, Holy Name Cathedral, Chicago Cultural Center), approach from Lake Shore Drive, not Michigan Ave. Saves 10-15 min.
Ceremony
- All vehicles stage at designated pickup points during ceremony
- Driver confirms post-ceremony pickup locations via text
- Guest shuttle (if booked) runs between hotel and ceremony venue
At churches, the limo line forms on the side street, not the front entrance. Your driver knows the staging protocol for every major Chicago ceremony venue.
Post-Ceremony Exit
- Bride and groom exit to dedicated getaway vehicle (SUV or sedan with decor)
- Bridal party loads into Sprinter for cocktail-hour venue
- Parents travel separately to reception venue
The getaway car moment lasts 30 seconds but gets photographed forever. We position the vehicle for the best exit angle and have the door open before you arrive.
Cocktail Hour & Sunset Photos
- Bride and groom may use this window for private sunset photos
- Driver on standby for quick location changes (skyline, lakefront, etc.)
- Guest shuttle runs second trip from ceremony to reception if venues differ
Golden hour in Chicago summer: 7:30-8:15 PM. If your cocktail hour is earlier, request the driver stage at the lakefront for a quick 15-min photo detour.
Grand Entrance at Reception
- Bride and groom arrive at reception venue for grand entrance
- Vehicle drops at main entrance for the walk-in moment
- Bridal party already inside from earlier Sprinter drop

Reception
- All vehicles released except getaway car and guest shuttle
- Guest shuttle runs scheduled loops between venue and hotel(s)
- Getaway car stages for end-of-night departure
Guest shuttles typically run 3 loops: start of reception, mid-reception, and end. Schedule the last shuttle 30 min after your planned exit.
Grand Exit & Departure
- Sparkler/send-off exit to decorated getaway vehicle
- Driver takes couple to hotel, after-party, or airport for honeymoon
- Final guest shuttle completes last loop to hotel
We keep the getaway car engine running and climate-controlled. After a 5-hour reception, stepping into a cool (or warm) car is the final luxury touch.

Parking: Valet $65/night. Drop-off under the canopy on Walton.

Do you decorate the getaway car?
We provide white ribbon and 'Just Married' signage at no extra charge. If your florist wants to attach arrangements to the vehicle, coordinate with us 48 hours ahead so we can confirm attachment points that will not damage the finish.
What if my ceremony and reception are at the same venue?
You still benefit from: morning prep transport, bridal party photo shuttle, parent/VIP transfers from hotels, getaway car, and guest shuttle. Most same-venue weddings use 2-3 vehicles instead of 4-5.
